Operations & Client Services Coordinator

Job Description

Overview

We’re seeking a highly organized, proactive coordinator to sit at the center of our production consulting, client services, marketing, and executive functions. This role ensures projects, communications, and workflows run seamlessly across the company from the C-suite, to key departmental leadership, to marketing + communications.

You’ll work directly with senior leadership, clients, and internal teams—owning execution while helping continue to scale the business.

Client Services & Project Management

• Manage client relationships and public communications
• Track project timelines, deliverables, and follow-ups
• Support business development and new client onboarding

Executive & Production Support

• Support senior leadership with scheduling, communications, and priorities
• Track leads, submissions, and project pipelines
• Coordinate the lead funnel process from originations through team assignment
• Coordinate workflows across marketing, sales, and services teams

Marketing & Communications

• Manage marketing calendar and social media execution (Instagram, LinkedIn, X, TikTok, YouTube)
• Create marketing assets (social media, email blasts, etc)
• Maintain brand voice across all platforms
• Oversee content creation (posts, press, decks)
• Track performance metrics and report insights

Team & Operations

• Oversee assistants and interns; manage hiring and onboarding
• Ensure quality control across all outputs
• Coordinate meetings, calls, senior leadership travel, event planning, and partner interactions
• Build systems to improve efficiency and scale

Ideal Candidate

• 1-3+ years in media, production, agency, or startup environments
• Strong organizational and communication skills
• Strong emphasis on design and marketing, as well as an aptitude for social media, SEO, and analytics
• Experience supporting executives or managing complex workflows
• High attention-to-detail with strong judgment and ownership
• Based in Los Angeles and prepared for [4] days in office work (Santa Monica)
